Make your next business move a success

How to successfully organise your business move

Moving offices can be a daunting task, especially if you are moving to an unfamiliar neighbourhood, city or even country. Preparing to move a business can be a lot more complicated than preparing to move a house, it is essential to be organised and have a plan of action. At Business Relocations, we have come up with a list of our top tips to help you get organised for your business move and make things go as smoothly as possible.

Get organised before you start moving

One of the most important factors when moving your business is to be organised from the start. Creating a ‘plan of action’ that includes a list of jobs needed doing, deadline dates and a list of people available to lend a hand can be a lifesaver in ensuring you have a quick and efficient packing process. Such forethought will minimise the chance of unexpected problems cropping up later down the line and help the whole process to run as smoothly as possible.

Create a timeline for your move

Setting out a timeline of jobs that need doing and when will work hand in hand with your plan of action. Set a final move out date well in advance to make sure you allow yourself the few days of preparation which will most probably be needed to pack up your office. Move backwards from your move out date to determine when prior jobs will need completing by. Make sure to discuss this with your moving team and colleagues to ensure that it is a feasible plan.

The Spruce advises that for moving premises, as a small business “you’ll need at least three months to prepare and for a medium to large office, at least six to eight months.”

Plan your new space in advance

If at all possible, it is a good idea to obtain plans or blueprints of the premises that you will be moving into in advance of the move. This will allow you to determine an initial plan of your new office layout, planning around key things such as power outlets and allow you to see if there will be any issues with your old furniture in the new space and also allow for a quick unpack on move-in day as you will know where items need to be placed.

Gather your team and assign tasks for the move

Make sure that throughout the moving process you keep you team updated of the situation and involved with tasks. Delegate jobs for an efficient move, such as making sure everyone has packed up their own office space by a specific date within your timeline and making aa list of everyone who may be able to help out on moving day.

Create a master list and label boxes

When you reach the point of actually packing up your office, a key organisational tip is to create a master list of everything that is packed and where it is located. This will allow you to know exactly where everything is, allowing you to get your business up and running again within the shortest time possible, by placing the boxes filled with your supplies into their relevant areas in the new premises.

Make sure to clearly label boxes with exactly what is inside to let whoever transports your goods to know if it should be handled with care or if it is heavy before them try and lift it.

Hire professional movers and packers

Hiring a professional team of movers will save you and your employees a lot of time and potential trouble. With the proper equipment and training, professional movers can tackle the larger items of office furniture more quickly and safely than if you were attempting the task yourself. If your budget allows you to hire professionally trained movers then it is the best way to ensure your belongings are moved from your old premises to your new with efficiency and care and will let you get back to business in no time.
