Planning an Office Move: A Checklist for Effective Relocations

Planning an Office Move: A Checklist for Effective Relocations

There’s an art to planning an office relocation. Without the right approach, taking on a task this big can feel a lot like juggling a flaming torch—daunting and liable to go very badly with the slightest wrong move. But after years of tackling business relocations for clients across every industry, we have a secret weapon: A comprehensive checklist for planning your office move.

It seems simple, but unfortunately, many office managers and business owners skip making an office move plan in the rush to get everything shifted. But not today. Stick around as our team of experienced office movers guides you through creating your very own relocation checklist.

Before the Move: A Few Planning Tips

Before you pack a single box, take some time to plan. Planning lays the groundwork that makes everything else go faster, so if you’re ready for this blog post, you’re already kicking off your moving process the right way. If you walk into your moving day with a clear plan and assigned roles, you’re ready for anything.

In the spirit of the ‘planning an office move’ checklist, here’s a quick rundown of everything to account for in your plan:

  • A timeline for the move (when should everything be packed up, and when should everyone get to the new office?).
  • A budget that breaks down all related costs.
  • A list of team members, each with their assigned responsibilities.
  • Contact information and a schedule for your moving team.

Packing and Labelling Tips

Once you get into packing up your old office space, there are a few techniques around packing and labelling that we’ve picked up over the years. While it might seem like unnecessary time and effort, labelling everything you pack will help on the other side when it comes time to allocate boxes and unpack everything. Fragile or sensitive items are common in office relocations, and these need to be treated carefully on the journey.

  • Purge anything you don’t need before packing to save space and time. Shred your old documents, donate unused furniture, and recycle outdated technology.
  • Label each box clearly with its contents and desired location in the new office. Labelling boxes by their destined room is easy if you set up a colour code.
  • Have your employees pack an essentials box that includes vital office supplies, chargers, and any key documents they need access to if getting your office back up and running takes longer than expected.

Nailing the IT Infrastructure Setup

Finally, your IT systems are the backbone of your business. Downtime is inevitable with a big move, but a sturdy office move plan can get you up and running quickly to save on lost productivity.

Keep the following tips in mind as you plan your office relocation:

  • Back everything – everything – up before the move.
  • Speak with your IT team to make a plan for any particularly sensitive equipment and to make a schedule for getting your office up and running on the other side.
  • Consult your internet provider well in advance, as getting the Wi-Fi going can take a while in some regions.
  • Go slow. In the business, we know that slow is smooth, and smooth is fast. Damaged IT equipment isn’t worth a few saved minutes, so take your time with anything breakable.

Office Relocation Packing Checklist

4-6 Weeks Before the Move

  1. Plan and Inventory
    • Create a detailed inventory of items (furniture, electronics, supplies, etc.).
    • Label each item with its destination in the new office.
    • Develop a layout for the new office space to guide packing and unpacking.
  2. Supplies and Materials
    • Order moving supplies (boxes, bubble wrap, packing tape, markers, etc.).
    • Secure specialised equipment for large or fragile items (e.g., crates for monitors).
  3. Communications
    • Notify employees about packing responsibilities.
    • Confirm moving dates with the relocation company.

2-3 Weeks Before the Move

  1. Non-Essential Items
    • What to Pack:
      • Archived files and documents.
      • Non-essential office decorations.
      • Extra supplies (stationery, unopened materials).
    • How to Pack:
      • Use durable boxes; secure with heavy-duty tape.
      • Label boxes with the contents and destination.
  2. Electronics Preparation
    • Back up important data from computers and servers.
    • Arrange professional disconnection of IT equipment if needed.
  3. Furniture and Equipment
    • Disassemble non-essential furniture (if not in daily use).
    • Label components (e.g., screws and panels) in resealable bags.

1 Week Before the Move

  1. Essential Documents and Supplies
    • What to Pack:
      • Current project files and minimal stationery.
    • How to Pack:
      • Use clearly labelled priority boxes for essential items.
  2. Technology
    • Disconnect and pack small electronics (printers, scanners).
    • Wrap each device in protective materials.
    • Label cables and components in separate bags.

2-3 Days Before the Move

  1. Final Office Items
    • What to Pack:
      • Desk supplies and personal items.
    • How to Pack:
      • Employees pack personal items in individual, labelled boxes.
      • Keep personal valuables offsite during the move.
  2. Common Areas
    • What to Pack:
      • Kitchenware, breakroom supplies.
      • Cleaning supplies and leftover materials.
    • How to Pack:
        • Use sturdy boxes and secure fragile items with padding.

Moving Day

  1. Last-Minute Essentials
    • Gather keys, access cards, and important documents.
    • Double-check all rooms to ensure nothing is left behind.
  2. On the Move
    • Communicate with your moving team, point out any highly fragile or sensitive items
    • Verify that all boxes are accounted for during loading and unloading.

Post-move

  1. Unpacking and Setup
    • Start with priority boxes (technology, essential supplies).
    • Reassemble furniture and test IT systems.
  2. Inspection and Clean-Up
    • Verify inventory against the checklist.
    • Dispose of packing materials responsibly.

There you have it! The final—and possibly most important—step is to communicate this list with your entire team. Whether you’re tackling your move alone or trusting a moving team to take care of it for you, regularly updating everyone involved in the move will help it run smoothly. It’s even better if you’re all operating from the same list of steps.

Remember to organise your pre-move planning, label your boxes like a pro, account for your IT setup, and keep talking to your teams. With this relocation checklist in your back pocket and an experienced team of office furniture movers on your side, everything will go seamlessly.

The team were very professional and communited well for our office move. The team were fast on move day and looked after our office equipment with no damage. Very profeessional and would highly recommend.
Business Relocations performed what we considered a challenging move for our company when we relocated to new premises, involving both office and warehouse items from a two-level building to another two-level building. Unfortunately, our scheduled moving day brought torrential rain, but the BR team, under Karl’s calm and professional leadership, worked their magic despite the weather. They arrived early and put in the hard work until our move was complete. We all appreciated the huge effort from the team on the day and the preparation beforehand.

We recently used Business Relocations Ltd to move our business across the city and the entire experience was excellent from start to finish. The process ran very smoothly, starting with the salesperson, who was friendly, helpful, and completely reliable. She did everything she said she would do, exactly when she said she would do it, which made the planning process stress-free. On moving day, the team arrived right on time and were professional, friendly, and extremely efficient. They worked hard throughout the move and were very accommodating with every request we had. Despite moving a full business, the entire relocation was completed in around four hours, which exceeded our expectations. I would highly recommend Business Relocations Ltd to anyone needing a professional, well-organised, and dependable moving company.

Awesome, professional company to deal with! I have used their services many times. Happy each time! I had a corporate client moving into a new building where the previous tenant had left all their old office furniture. We had to relocate everything into temp storage, then return some items while delivering the remaining to other buildings and then the remainder to a auction house. Not a problem for these guys, everything got where it should! Client was super happy! I would trust this company to move my own furniture!

I have been calling on Business Relocations since 2020. A monumental move from a Wellington office to Auckland was our first engagement, and regularly in the years that followed. In 2023 I moved to a new role with another company and I'm still using their services. They have been a pleasure to do business with. They make everything look easy; the entire team have been delightful to deal with, making my job so much easier. The assurance that your items will be cared for in the move, the professionalism and just good people make it a no brainer to call them when it comes to relocating or just clearing office spaces out. I can't say enough good things about the services provided by Business Relocation. Thank you for doing excellent work team.
